Midrand Student Accommodation Rules and Regulations

Room Allocation:

Rooms will be allocated according to gender and no members of the opposite sex will be permitted to share rooms. We will make every effort to team students up with others that suit their personality profile or according to personal requests. The Residence Manager has the authority to alter the rooming list if deemed necessary. Students who would like to alter their room allocation need to make a formal request to the Residence Manager who will access availability, and authorize the alteration if possible.

Check in / Check out:

Rooms will be allocated prior to arrival. Check-in is from 12h00 on the day of arrival. Check-out is by 15h00 on the day of departure, unless otherwise arranged with the Residence Manager.

Students Residence:

Students are to ensure that they close the Residence entrance door properly behind them, so that no unauthorized person is able to enter the building behind them. Do not let in people you do not know! UNACCOMPANIED PERSONS WILL BE ASKED TO LEAVE THE RESIDENCE IMMEDIATELY!

Visitors:

Student’s visitors are not allowed into a student room unless they are their sponsors or parents;
Students coming with the intention to study in groups. Study group venues are arranged with Student Manager upfront. These visitors are only permitted in the venue allocated for the study group ONLY and accompanied by the resident.
Visiting Hours: Sunday to Thursday are up to 22h00, Fridays and Saturdays up to 24h00
Visitors are to gain access via the security entrance and the Visitors Book is to be filled in by the visitor when entering our property. No visitors may be left unaccompanied in the Residence i.e. the resident must be with their visitors at all times. Students are to accompany visitors to the security entrance when leaving the residence. No visitor or day student is permitted to stay over. Students who permit this will be dealt with according to the disciplinary procedure. Visitors must sign into the Visitors Log Book. Failure to comply with this rule may result in that particular visitor not being allowed back into the Residence. If a particular student is found to constantly infringe on this rule, found to constantly infringe on this rule, they may be refused any visitors in the future. (Note: Your safety is extremely important to your loved ones and us. Thus no flexibility will be allowed in this regard. Please respect the privacy of others and make your contribution in safeguarding the Residence.

Dress Code:

Students are to be fully clothed when appearing in public areas. Students are not allowed to wear slippers, gowns or pyjamas anywhere except in the bedrooms or to the bathrooms

Noise and Curfew:

Between the hours of 22h00 and 07h00, noise levels must be kept to an absolute minimum. Be mindful of your neighbours and students who may be trying to sleep or study. Any noise that can be heard outside of your room is too load. Any student who does not abide by this rule will face actions. Curfew during the week is 21h00 and 03h00 on Fridays and Saturdays. No slamming of doors, No drunken unruly behaviour will be tolerated. No speakers, car sound volume at maximum level allowed in the property.

Smoking/Vaping/Bongs:

Smoking/Vaping/Bongs is prohibited in the front of the conference centre and anywhere inside of residences and venues. Midrand Student Accommodation is a non-smoking environment. Ashtrays are set up outside, therefore, smoking is restricted in any of the areas where ashtrays are provided. The use of ashtrays is compulsory, should any cigarette butts be left lying around anywhere, action will follow.

Fire Safety

In case of fire, students must immediately evacuate the building using the designated fire exits. Fire extinguishers are located in hallways. Tampering with fire equipment is a criminal offence and will result in immediate expulsion.

Socials:

Socials will be arranged jointly by management and the selected SRC. All socials are to be in line with health and safety regulations. An active SRC is vital for these socials.

Pet Policy:

Strictly no pets allowed.

Laundry:

Laundry facilities are for resident use only. Laundry hours are from 07h00 to 16h30 (Mon-Fri). Clothes may not be hung in public areas or out of windows. The management and property owner takes no responsibility for damage or lost items.

Substance Abuse/Consumption:

Midrand Student Accommodation will not condone the use, sale, distribution or promotion of any form of stimulant, drug or narcotic substance or any form of medication on our property or whilst a student is involved in practical work experience, or other Hotel School related activity. The singular exception to this is any student who is under certifiable doctor’s instructions. Failure comply with this rule will face severe disciplinary action and possible expulsion from the residence. Midrand Student Accommodation reserves the right to consult the parents and refer a student for a drug/alcohol test in the event of the student being suspected of taking such substances. The cost of this test must be borne by the parent/sponsor or student. Smoking of cannabis/weed is illegal. Cannabis is still classified as an illegal narcotic unless a legal medical consumption permit may be produced. The use of drugs for recreational purposes is illegal.

Alcohol Abuse/Consumption:

Midrand Student Accommodation allows the consumption of alcohol with certain rules & limitation. No student may be in own more than a 6 pack (six pack) or beers/ciders, limited to a 330ml unit; or a bottle of wine (750ml). In the event that you are caught with more than the regulated limit you may be fined and/or termination of contract. In the event that management notices a general abuse and/or increase in alcohol consumption together with irrational behaviour trends management has the legal right to ban alcohol complete on the student property unit such time that the matter has returned back to normal. STRICKLY NO SPIRITS ARE PERMITTED. Management has the right to inform parent/guardians/sponsors of any report or observation of abuse of alcohol and alcohol based incidents.

Room Searches:

Midrand Student Accommodation management has the legal right to perform random room searches and will be executed by authorised management members only, should the need or suspicion arise. Searches are conducted to monitor general hygiene conditions, maintenance checks and/or asset checks in rooms. Searches are conducted by management and/or the student Res manager together with the room resident.
For hygiene purposes and to make sure that your room is free of any pests/ insects, which can be a danger to your health, room checks may be done at any given time. Room searches may be done without prior notice.

Housekeeping:

All resident students are responsible for the cleanliness and maintaining of standards in their bedroom, and each student should, therefore, do everything within their power to keep their room in a clean and hygienic condition. Clean up after their food preparation and cooking in the kitchen. Any dirty containers, pots or plates let behind in the kitchen will not be cleaned by the hotel staff, but will be confiscated. No Ashtrays may be kept in the rooms; therefore may not be kept in any of the student rooms. Failure to adhere to this will lead to expulsion from the Residence. Any damages to the rooms due to negligence or poor housekeeping of students will be subject to charge your account. Should our Resident Manager find your room in a dirty and unacceptable state we will fine you R200.00. This will be charged to your account and will be payable within 7 days after you have received the fine. Students must clean their workspace/common rooms, and bathrooms after their use for consideration of others.

Kitchens:

The kitchen may only be used by resident students to prepare meals. Students must clean the kitchen directly after cooking meals as other students utilize it as well. All personal kitchen utensils must be marked clearly. Students are to refrain from removing foodstuff or utensils from the kitchen that do not belong to them. Students may not cook in their rooms, as this is classified as both a fire hazard and also a health & safety risk.

Common Rooms/Common Areas:

Common rooms are intended for all students to socialize in, and study in. Noise should be kept to a minimum level in consideration for their fellow student neighbours. Student are held responsible to keep their area neat, clean and tidy. Smoking is strictly forbidden in any interior common area.

Internet/Wi-Fi:

A shaped bandwidth is provided to each student with a daily limit. Inappropriate websites have been blocked such as pornography, gambling, torrents. Wi-Fi signal is made available in all study venues, public areas, and study areas and possibly limited to the resident’s rooms. All connection issues will be logged with the IT Company and will be resolved within 24hour; unless the internet infrastructure has been damaged/stolen/hacked or damaged by an act of God or 3rd party contractors. In the event of a technical issue outside of the companies control, the company takes no responsibility.

Room Keys:

Room keys will be issued upon registration/arrival. An amount of R250.00 will be levied when issuing any additional key. Please advise the Residence Manager, should a replacement key be required.

Parking:

Students requiring parking will be allocated a space to park within the student parking area.

Damage to property:

Although personalization of individual rooms is accepted, defacing residence property is strictly prohibited. Fixtures or pictures may be attached to the walls, provided the walls are not damaged in any way. Additional furniture and personal belongings must be kept to an absolute minimum to prevent cluttering of the room Midrand Student Accommodation will not be held responsible for any loss or damage of any personal items. As a resident student, you are expected to respect your fellow resident student’s possessions (including food and/or kitchen related items) without their permission.

CCTV / Surveillance:

For the safety of students, the premises are monitored by CCTV in common areas. Surveillance footage is only reviewed when necessary and is stored securely in line with POPIA

Cybercrime Act:

In accordance to the cybercrime act, as part of a group WhatsApp chat that all students are part of. All messages have to be of a respectable nature. The use of insulting wording, defamation of character, threats, and insults will be handles in a legal manner. No part of the WhatsApp chat may be sent to individuals outside the group (POPI Act). In the event that students create a separate group chat, all legal requirements and responsibility’s fall upon the group’s admin, these responsibilities must adhere to the cybercrime act and POPI Act.

POPI Act:

You hereby give Midrand Student Accommodation permission to store and use your details for internal survey purposes only. Midrand Student Accommodation will place all students onto a group WhatsApp chat for internal communication purposes only, In the event that any student wishes to leave this group they may do so at their free will. Student information will be stored securely for the duration of the stay and for administrative compliance for 1 year after departure, unless otherwise required by law. We do not share personal data with third parties

WhatsApp Chat:

Midrand Student Accommodation adds all students to a group WhatsApp. This group’s purpose is for reporting solely Wi-Fi, Security and urgent communications/issues only. This group may not be utilised for feedback, pictures and/or general student chat. All Wi-Fi related items will be forwarded by management to the IT Company that manages the internet. All maintenance related reports will have to log on the student’s maintenance QR code provided. Aircon related items will be referred to the specialized contractor.

At no stage may anyone talk negative about anyone, use vulgar language, insult, recommend/propose protest action and/or incite unrest. This all in accordance to point 18. In the event of such events, the group admin has the full rights/responsibility to remove such items and relevant action taken against the individuals. This may result in possible legal action of the agreement being terminated.

TV Channels / System:

Midrand Student Accommodation has installed an Android TV stick (with remote) in each room with a TV. These are preloaded with Netflix, SABC, Showmax, Prime. Upon check in & check out device will be checked and confirmed.

Legal Notice + costs:

Any legal correspondence between Midrand Student Accommodation and the student will be charged at a cost per letter of R450.00 (four hundred and fifty rand). These letters are issued for failure to pay monthly

Security Searches:

Students and their possessions are subject to reasonable security searches from time to Time. These searches may be conducted without prior notification. The General Manager/Residence Manager, accompanied by another staff member and / or a student residence representative where possible, will conduct all room inspections. In the event that a student is not available for a room inspection, and management holds a suspicion of inappropriate behaviour of substances in a room. Management has the right to enter the room with at least two witness being present.

Security Gate Passes:

No student will be allowed to leave the property with any luggage, other than your school books, without a gate pass. If you are sleeping out for the weekend make sure to collect your gate pass during office working hours. When you have given notice and you are moving out (any items), make sure to collect your gate pass. One of the resident managers will accompany you to check your room. Your days must be planned accordingly and gate passes needs to be collected at reception during office hours (08:00 – 17:00, Monday to Friday)

Reporting of accident/incidents:

If you have an accident/incident, inform the Residence Manager, first Aid or the staff member in charge of the residence. If an accident/emergency happens during the night or weekends, contact the emergency telephone number provided or security. Afterhours the police or ambulances will be called to respond.

Agreement cancelling & vacating your room:

The agreement is binding for the duration of the stay period and should you need to cancel a full calendar month notice in writing must be given. You are required to make an appointment with the Residence Manager at least one week before vacating the room for inspection of the room upon your departure and handing over the keys. You are responsible for cleaning the room before handing over the keys, should it be necessary for the Housekeeping team to clean your room before hiring it out again, you will be charged an amount of R200.00. You will not be allowed to leave any of your personal possessions in the room after your agreement has expired, in which case you will be charged rental for the period up until you remove such possessions. Failure to return keys upon vacating, you risk being evicted.

Room inspection (Move In & Out)

The Student Res Manager will conduct a room inspection upon check in/arrival. During this process the student, together with Res Manager will conduct a room inspection where any issues (damages/maintenance items) will be brought to the properties attention. In the event that the move-in is during no office hours (after hours/weekend/public holidays), it is the responsibilities of the room occupier to report any/all broken/damaged item to the Res manager via email/WhatsApp with 30 days of moving into the facility. Upon checkout a room inspection will be done with all parties present, a comparison will be done between the check-in and checkout inspection report. Damages will be charged for, general wear and tear will be the responsibility of the property management company.

Non-payment of monthly accommodation (in advance):

The monthly accommodation amount is due by the seventh of each month, and payment is to be made in advance. Failure to make timeous payment will result in you receiving a notice to vacate the room, and all monies due will become payable immediately, Wi-Fi will be terminated within 10days after the stated due payment date. You will still be held liable for the remaining rental due under the duration of the agreement signed. The agreement is only valid for the period stipulated in the agreement and will have to be renewed at least one month before the expiration of the current agreement to secure you a room for the next period. This can be done by getting a new agreement from the Residence Manager, completing it and handing it back within the specified renewal time. Failure to renew timorously may lead to your room being offered to another student. Students who fail to renew their contract will be charged a day room rate of R200.00 (two hundred rand) per day up until the contract is renewed or the room is vacated. Students may also face expulsion.

Fines/Penalties:

a. Smoking/Vaping/Smoking Bongs in the Room – R300.00
b. Smoking Cannabis (inside or outside) – R600.00
c. Lost keys – R250.00
d. Poor housekeeping/room hygiene – R300.00
e. Drinking in public/disorderly public conduct – R500.00 + parent notification
f. Curfew late coming – R150.00
g. Noise (loud music) – R300.00
h. Visitors/Sleepover – R250.00 (not registering visitors/sleepovers)
i. Vandalism – Damages cost + contract termination + parent notification
j. Cooking in the room – R1000.00

Any fine or disciplinary action may be appealed in writing within 48 hours to the Residence Manager, whose decision will be final.

SRC (Student Representative Council)

Student will be asked to elect a SRC committee, this consisting of a SRC president, housekeeping committee, student feedback committee and an events committee. This election for the SRC president gets done via the guidelines set out by the management. SRC will be responsible and involved in all aspects of social events. In the event of no SRC or a limited group of SRC members, management will take over the roll with limited offering. In the event that management and SRC have a disagreement, the property management will have senior authority on all decisions. For the safety of students and/or of the property/company management has the authority to dissolve the SRC council until such time a new council is selected.

Indemnity and liability of Landlord

Midrand Student Accommodation does not accept liability for loss of or damage to student belongings. It is the responsibility of each student to ensure that they do not expose their belongings to the possibility of theft. It is recommend that students bring their own bar fridges to their rooms. And suggest students keep their cooking equipment, crockery and cutlery in their rooms.

All parties that sign hereby agree that this agreement may be executed by all forms of digital communication and that the signed agreement/s will evidence the binding obligations of the parties and their agreement to be bound by terms of this agreement.
